Property Control
Never discard or sell an inventoried item (i.e. an item which has an inventory control number on it and/or which appears on your inventory sheet). There is a county procedure which must be followed when removing items from the inventory.  Whether you are discarding the equipment or permanently moving an item to another location, you must use the http://www.cobbk12.org/Departments/BS/BSPurchasing/PropertyControlSurplus.pdf

If an inventoried item is loaned to another school, accurate records must be kept and the same item with the same inventory number must be returned before the end of the school year.

Before an instrument is loaned, form IS 934-A must be completed and a copy sent to the office of the Supervisor of Music.

At the time of the annual Control Audit, a file must be available to the auditor containing an IS 934-A for each instrument on loan.

Music Equipment Inventory
The music office maintains the county records of musical instruments (including pianos) and equipment. This inventory is used for replacement of old and sub-standard equipment and it is essential that it be kept up-to-date.

Record all new equipment and instruments received during the school year by filing out the Inventory Up-Date Form, which can be found on the Forms Section of this web site. This form shall be filed by May 25th each year.
